Process
Four steps from a real problem to a working system.
Every AIERAX engagement — whether it is a voice agent, a website, a brand identity, or a full operations backbone — moves through the same four phases. The pace changes. The discipline does not.
-
Discover
We start by understanding the business, not the brief. On a single working call (sometimes two), we map how leads actually come in, where they get stuck, what your team spends its day doing, and what an honest definition of 'better' looks like — more leads captured, fewer hours wasted, faster turnaround, a brand that finally matches the quality of the work. We bring questions, not slides. By the end of Discover, we know exactly which problem is worth solving first, what success looks like in numbers, and whether AIERAX is the right team to solve it. If we are not, we say so.
- Discovery call (60–90 minutes) with the actual builders, not a salesperson
- Written problem statement in plain English, signed off by you
- Success metrics — what we will measure and how we will know it worked
- Honest go / no-go recommendation, including 'this is not worth building yet'
-
Plan
Once the problem is clear, we turn it into a concrete plan. We sketch the system end to end — what it does, what it does not do, what tools it uses, what it costs to run, and how long each piece takes to build. You see the architecture as a simple diagram, not a 40-slide deck. We pick the smallest version that solves the real problem (so you get value in weeks, not quarters) and lay out what comes in phase two if the first version proves itself. Pricing is fixed before we write a line of code. No 'discovery extensions,' no surprise invoices.
- System architecture sketch — every tool, every connection, every data flow
- Phased scope document with a clearly defined Phase 1 (what we ship now)
- Fixed-price quote and timeline, with milestones tied to working software
- Tools, hosting, and ongoing run-cost breakdown so there are no surprises later
-
Build
This is where most of the work happens, and where most agencies go quiet. We do the opposite. You get a shared workspace, weekly working demos of whatever exists so far, and a single point of contact who is also the person writing the code or designing the brand. We ship in tight loops: build a piece, show it to you on a call, get feedback in real language ('the form is too long,' 'the voice sounds robotic'), adjust, ship the next piece. Nothing is hidden until a 'big reveal.' By the time we hand it over, you have already seen every screen, heard every voice line, and approved every brand asset.
- Weekly working demos — real software you can click, not mockups
- Shared workspace (docs, Loom walkthroughs, WhatsApp group) for fast feedback
- Iterative builds: design, automation flows, voice agents, code — all reviewed live
- Full source code, brand files, and credentials handed over to you, owned by you
-
Deliver
Launching is not the end of the project — it is the start of the system actually earning its keep. On delivery day we run a proper handover: a recorded walkthrough of how everything works, written documentation your team can search later, and a live monitoring dashboard so you can see leads captured, calls answered, automations fired, and uptime in real time. For the first weeks after launch we are on standby — most clients keep us on a light retainer for ongoing improvements, new automations, content updates, or the next phase of work. You leave with a system you fully own and a team you can call.
- Production launch with monitoring, backups, and security baseline configured
- Recorded walkthrough plus written documentation for your team
- 30-day post-launch support window for fixes, tweaks, and small additions
- Optional retainer for ongoing AI, automation, software, and brand work as you scale
