Custom Apparel & Corporate Merchandise

Crafted Community

Building the digital infrastructure behind a growing apparel brand.

Overview

Crafted Community is a custom apparel and corporate merchandise brand serving businesses, schools, and event organizers with bulk orders that demand tight coordination across design, production, and delivery. As order volume grew, the team was running the entire operation out of chat threads, personal laptops, and a patchwork of free cloud drives, with no single place to see what a customer had ordered, what stage it was at, or where the latest artwork lived. AIERAX was brought in to design and deploy the full digital backbone of the business: a professional website, a configured CRM workflow, centralized TrueNAS storage, and a hybrid cloud-plus-office server architecture with reliable backups. The result is a small apparel brand that now runs on infrastructure usually reserved for much larger operations.

Challenges

  • Operations were spread across WhatsApp, email, and spreadsheets, with no single source of truth for orders, customers, or production status
  • No CRM workflow existed, so leads, repeat buyers, and quote follow-ups were tracked manually and frequently fell through the cracks
  • Infrastructure limitations meant the team could not safely store large design files, share them across staff, or recover them if a device failed
  • Artwork, mockups, invoices, and customer files were scattered across personal devices, free Google Drive accounts, and USB sticks with no version control
  • No public-facing website meant the brand was losing credibility with corporate buyers who expected to evaluate vendors online before reaching out
  • No backup strategy left the business one laptop crash away from losing months of customer artwork and production records
  • Onboarding new team members was slow because nothing was documented or centrally accessible

Solutions delivered

Brand-Facing Digital Presence

We built a custom website that gives corporate buyers, schools, and event organizers a credible place to evaluate Crafted Community before they ever send an enquiry. The site is structured around the order journey, not just product photos, so visitors immediately understand what is possible and how to start a project.

  • Custom website development with conversion-focused structure
  • Enquiry capture wired directly into the CRM workflow

Customer & Order Operations

We replaced the chat-thread-and-spreadsheet model with a configured CRM that tracks every lead, quote, repeat order, and production stage in one place. The team now opens one screen each morning instead of five.

  • CRM platform integration and configuration
  • Lead, quote, and order pipeline setup
  • Repeat customer and corporate account handling

Centralized File Storage with TrueNAS

We deployed a TrueNAS-based storage system so every design file, mockup, vendor artwork, and production record lives in one secure, versioned location accessible to the whole team, instead of being trapped on a designer's laptop.

  • TrueNAS deployment and volume configuration
  • Role-based access for designers, sales, and production
  • Versioned storage for artwork and customer files

Hybrid Cloud + Office Server Architecture

We designed an architecture where day-to-day cloud services and an in-office server work together: fast local access for big design files, cloud reach for the website and CRM, and a clear separation so neither one becomes a single point of failure.

  • Cloud infrastructure setup for website and CRM
  • Office server provisioning and configuration
  • Network and access policies across cloud and on-prem

Backup & Continuity

We built a backup architecture that protects the business against the everyday risks small apparel brands ignore until it is too late: a stolen laptop, a corrupted drive, or a deleted folder right before a deadline.

  • Automated backup schedules across critical systems
  • Off-site backup copies for disaster recovery
  • Restore procedures documented for the team

Architecture

At the public edge sits a custom website hosted on cloud infrastructure, which captures enquiries and pushes them straight into a cloud-hosted CRM where the entire customer journey is tracked. Behind the scenes, an office server paired with a TrueNAS storage system holds all heavy assets - artwork, mockups, production files, and historical records - so designers and production staff get fast local access without choking on cloud upload speeds. The cloud and on-prem layers are linked by clear access policies and synchronized backup routines, with off-site copies ensuring nothing critical lives in only one location. This split keeps the website and CRM globally accessible while keeping bandwidth-heavy design work fast inside the office, and lets Crafted Community scale headcount, storage, and order volume without re-architecting the business every time it grows.

  • Workflow management improved significantly, with leads, quotes, and production stages visible in one CRM view
  • Customer handling is faster and more professional, with full order history and past artwork available on demand
  • Infrastructure is scalable, ready to absorb more staff, more orders, and more storage without rebuilding from scratch
  • Backups are reliable and automated, eliminating the risk of losing customer artwork to a single device failure
  • Design files and mockups are versioned and shared from one location, ending the daily hunt for the latest file
  • The new website gives the brand credibility with corporate buyers and brings in qualified enquiries directly into the CRM
  • Onboarding new team members is dramatically faster because every system, file, and process has a known home

Business impact

Crafted Community moved from running a growing apparel business on personal laptops and chat threads to operating on real digital infrastructure - the kind that lets the founders sleep at night and say yes to bigger corporate orders without panicking about coordination. Leads no longer get lost, customer artwork is never one spilled coffee away from disappearing, and the team can onboard new staff without weeks of tribal-knowledge transfer. The hybrid cloud-and-office architecture means the business pays for performance where it needs it and reach where it needs it, with backups that turn what used to be existential risks into routine, recoverable events. Strategically, Crafted Community now has the operational backbone of a much larger brand, which directly supports its push into higher-value corporate and bulk merchandise contracts.
